What is n8n and why do we use it?

n8n is an open-source workflow automation platform — similar to Zapier or Make, but more flexible, more powerful, and you can self-host it so your data never leaves your infrastructure. We use it as the backbone of almost every automation we build for our clients.

The five automations below are ones we've actually built and deployed for UK small businesses. Each one is realistic to implement within a week, and the ongoing cost is typically £0–50/month in API fees depending on volume.

1. Automatic lead follow-up emails

The problem: A potential client fills in your contact form. You're in a meeting. By the time you reply 3 hours later, they've already spoken to a competitor.

The automation: When a form submission arrives, n8n instantly sends a personalised acknowledgement email from your address, logs the lead in your CRM, and sends you a Slack or email notification with the lead's details. If you don't respond within 24 hours, a follow-up email goes to the lead automatically.

2. Customer support email triage

The problem: Your inbox is a mix of urgent complaints, routine questions and sales enquiries — and someone has to read every one to decide what to do with it.

The automation: n8n connects to your Gmail or Outlook, reads each incoming email with AI, classifies it (support / urgent / sales / spam), and routes it to the right person or queue automatically. Urgent items ping Slack immediately. Routine questions get auto-replied.

3. Invoice data extraction and logging

The problem: Supplier invoices arrive as PDFs. Someone manually opens each one, copies the data into a spreadsheet or accounting system, and files the PDF. It takes 5 minutes per invoice and is soul-destroying.

The automation: n8n watches a Gmail label or a Dropbox folder for new PDFs. When one arrives, AI extracts the key data (supplier name, amount, due date, invoice number) and logs it directly into Xero, QuickBooks or a Google Sheet. The PDF is filed automatically.

4. Social media content publishing

The problem: You know you should post on LinkedIn and Facebook regularly. You keep forgetting, or it takes too long to write something.

The automation: You write a batch of post ideas in a Google Sheet once a month. n8n picks them up on a schedule, uses AI to expand each idea into a properly formatted post, and publishes to LinkedIn, Facebook or both — automatically, at the optimal time of day.

5. New customer onboarding sequence

The problem: When a new client signs up, someone has to manually send a welcome email, create a folder, add them to the CRM, send the contract, and schedule an onboarding call. It's 20 minutes of admin per new client.

The automation: When a new client is added to your CRM (or signs a contract in PandaDoc/DocuSign), n8n triggers a sequence: welcome email goes immediately, a Google Drive folder is created and shared, a calendar invite is sent for the onboarding call, and a task is created in Asana or Notion for your team.
